Now that our contract is in place, we will get started with scheduled work sessions based on the agenda items that were developed from our first session.

This page is here to provide some information about what to expect as we move forward.

Communication and Scheduling

In addition to scheduled work sessions we will primarily use email and our designated Asana Project to communicate. What is Asana? It is the best project management tool out there and I will go over all of it in our first session together. This keeps everything organized and allows us to do the best job that we can and ensure nothing falls through the cracks.

You may also receive a link to a client portal where our contract, surveys and other documents are held. This is not necessary for every client. Deliverables are usually shared via email, or in a cloud-based folder (Google Drive, Dropbox or the client portal.)

Scheduling consistent work sessions in advance is the best way to keep projects moving forward and maintaining momentum for your new business system design. It also allows us to keep the rest of our business projects organized, on track and harmonious with one another.

Dedicated days once a week, every two weeks or monthly are the best way to guarantee availability. Outside of that I can often be available with 4-5 days notice for retainer clients, reachable by email most days or can make time for shorter calls in between when necessary, like time-sensitive matters. Availability varies. Please keep communication between 9am - 6pm Tuesdays - Fridays, unless it is urgent.

In these recently unprecedented times there are a lot of unknowns and flexibility and adaptation are even more necessary as we support one another. With good communication we’ll forge forward as best we can.

Billing

I offer different rates for hourly and retainer clients. Hourly rates are higher and retainer rates are discounted in 10 hour blocks.

For both options, billable hours entail:

  • Scheduled meetings and work sessions

  • Meeting prep (30-45 min or none at all varying from meeting to meeting)

  • Time spent executing tasks delegated to myself, within the scope of our contract agreement and communicated ahead of time

  • Phone calls in-between, billed in 15 minute increments (not billed if under 5 min)

Non-billable hours will be disclosed as they come up. This could include researching a new software I haven’t used before and any research that I believe should be included in my own education relevant to my business operations. Some research is project specific and will be determined billable and approved beforehand.

Coaching and work sessions are generally a mix of what some of my clients call “business therapy” and execution of tasks. I serve as a sounding board for your business ideas, goals, challenges and questions. Based on these discussions we will create action items for each of us to complete and set deadlines.

Client Portal

You have a client portal available to you that has a copy of our proposals, contract agreements, invoices and payments, retainer balance reports, as well as any other relevant files outside of deliverables. You will receive your portal link in an email and your password will be your email address. Not every client requires a client portal so feel free to request one if you would like.

What’s Next?

We will begin scheduling work sessions to advance the agenda items we created in our first calls.

We will set up meeting agendas and review tasks and progress in each session, adjusting the timeline and program as needed. Scheduled work sessions provide accountability and support for executing your business goals, as well as encouragement. The button below is my calendar scheduling link. If you’d like to schedule a session longer than one hour, make note of it in the request. I’ll review the request and confirm or coordinate secondary options.

What will happen when the project is over?

On-going Hourly Support

Once your business systems are in place, dialed in and running smoothly, I am available for on-going hourly support as needed and agreed upon.

Monthly Retainer Support

I offer more availability and priority for my clients who pay a monthly retainer. This amount and the number of hours can be agreed upon in advance and billing is prepaid, due at the first of each month.

Other Business Services

Want even more support? We offer bookkeeping, graphic design, website design and maintenance, SEO, marketing, social media management and more. Feel free to inquire and I will provide you a custom proposal for services or refer you to one of our in-network experts.
